Most boards pick HOA software once, under time pressure, after a demo. These six questions work whether you are looking at a large platform or a small one. They work on us too, and we answer them below.

1. Can we see the product before a sales call?

Some vendors open a self-serve trial. Others ask for a demo first. Neither is wrong, but you should know which path you are on.

Ours: the sample association is open. No demo, no card.

2. What is the price, in writing?

A published price is easier to compare. A quote can be fair, but ask what changes it.

Ours: one Core plan, $49 a month month-to-month or $39 a month billed yearly, flat to 50 doors, then $0.60 a door a month ($0.50 on yearly billing). The same number is on the pricing page.

3. Who moves our data in, and how long does it take?

Some vendors assign people and quote weeks. Ask what you hand them and what you check at the end.

Ours: upload what you have, the software proposes, a person approves, the totals tie.

4. Do the balances tie before residents are invited?

If owners see a wrong number in month one, the board spends month two apologizing.

Ours: residents are invited only after the opening balances match the board’s total.

5. Who approves what a resident receives?

Notices, reminders, and replies. Ask whether anything goes out automatically, including AI-written answers.

Ours: a person approves anything a resident receives.

6. Can we leave, and take everything?

Ask about export before you need it, and whether it still works after you cancel.

Ours: export stays free, including after you cancel. Your association’s records stay yours.

The dated comparison of how other vendors start is on the compare page, with links to their own pages.
