Moving in without retyping
Upload what you have. The software proposes where it goes. A person approves it, and the totals tie before a resident sees anything.
The books coming in
- File Spreadsheet on file
- Approve A person approved
- Tie Two doors still open
Five steps, in this order
Upload, map, approve, tie, then invite.
-
Upload what you have.
An export from the system you use now, a spreadsheet, or the PDFs the last manager sent.
-
The software proposes where each row goes.
Doors, owners, and opening balances — each row with where it would land.
-
A person approves it.
Nothing applies on its own, and an applied import can be undone.
-
The totals tie.
Opening balances must match the total the board expects before anything goes live.
-
Then residents are invited.
A person sends the invite, tied to the next dues date.
How others describe moving in
From their public pages. Hoavik is upload, approve, and tie out — a person still signs each row.
| Software | How you move in | Who does it |
|---|---|---|
| Vantaca | 6 to 12 weeks, per their FAQ | A named implementation team |
| PayHOA | Onboarding with an import of units, owners, and balances | A free onboarding specialist |
| Hoavik | Upload, review, tie out | Software proposes, a person approves |

Questions before you move
Does this actually move our books?
Yes. Upload, mapping, and a person who approves each row. The sample shows the tied result you end with.
Our old manager only sends PDFs.
That is the case it is built for. Upload the pile. The software proposes rows from it, and a person approves each one. The old files stay as the archive instead of being retyped line by line.
Do residents see anything before we are ready?
No. Residents are invited only after the balances tie, and a person sends the invite.
Can we leave later?
Export is planned to be free and open when it ships, including after you cancel. Your association's data stays yours.
What does moving in cost?
Moving in is part of starting — there is no separate migration fee on the pricing page. Print and mail, payment processing, and per-event resale packets are passed through at published cost when you use them.
See the end state first.
The sample is already tied. Two balances are still open so you can see both states.
We do not manage your association, keep its books as a service, or give legal or accounting advice. The board still decides.
