A resident logs in to check what they owe. The screen says $0. They close it.

What it meant was “this month’s charge has not been posted yet.” What they read was “you are paid up.” A few days later the assessment posts, the reminder goes out, and the board has a late payment it created by accident.

The screen is the statement

For most owners, the portal is the statement. They do not read the ledger. If the number on the screen is wrong for a week every month, the books can be perfect and the association still has a collections problem.

How Hoavik is built to show it

Each door shows one of two states: tied or balance open. A balance is not shown as zero before that month’s charge exists. And residents are not invited to pay at all until the opening balances tie to the total the board expects.

That last rule matters most on the first month in new software. If the opening balances are wrong, the first statement every owner sees is wrong, and trust is hard to get back.

What a board can check

Open your current portal as a resident would, on the first of the month, before the charge posts. If it shows $0, you have found the reason some owners pay late.

You can see both states in the sample association: most doors tied, two still open.
